Who we are
Decision All Access is run by Decision Management Ltd (trading as Decision Entertainment Ltd), registered in England and Wales, 126 Wellesley Road, London, England, W4 3AP. We are the data controller for the personal data described here. You can contact us about privacy at giulia@decision-entertainment.com.
What the portal is
The portal is a private tool for Decision, the artists and creators we represent, our agents, and the clients we work with. Access is by invitation only.
What we collect
- Account details: name, email address, role, login and security settings, including two-factor authentication.
- Talent profiles: names, handles, social media links, categories, region, profile images, representation details and agents.
- Work and money: deals, campaigns, deliverables, fees, commission, statements and payouts, and the billing details needed to pay or invoice you, such as legal name, address and VAT number.
- Client records: company details, contacts and billing information.
- Accounting data we exchange with our accounting software (QuickBooks, and later Xero): customers, invoices, payments, bills and their status.
- If you connect a social media account: profile and audience statistics that the platform shares with us with your permission.
- Technical data needed to keep you signed in and the portal secure, such as session cookies.
- If you turn on phone or browser notifications: a notification address for that device, created by your browser's push service (Apple, Google or Mozilla), and the device's browser name. We delete it when you turn notifications off or the address stops working.
Why we use it
- To manage the representation of our talent and the deals we arrange for them, which is necessary for our contracts with talent and clients.
- To invoice clients, pay talent and agents, and keep accounting records, which is also required by law.
- To keep the portal secure and working properly, which is in our legitimate interests.
- To show clients the talent we represent, with the talent's agreement.
We do not sell personal data or use it for advertising.
Who we share it with
We use trusted providers to run the portal, each bound by a contract to protect your data:
- Supabase (database and sign-in), hosted in London
- Vercel (website hosting)
- Resend (transactional emails)
- Intuit QuickBooks, and later Xero (accounting)
- Google (email and documents) and social media platforms you choose to connect
- Your browser's push service (Apple, Google or Mozilla), only if you turn on notifications, to deliver them to your device
We share deal information with the clients and talent involved in each deal, and with our professional advisers such as our accountants. Some providers may process data outside the UK; where they do, we rely on appropriate safeguards such as the UK International Data Transfer Addendum or adequacy regulations.
How long we keep it
We keep account and profile data while you work with us. We keep financial records for at least six years after the end of the financial year they relate to, as the law requires. When data is no longer needed we delete or anonymise it.
Your rights
Under UK data protection law you can ask to see, correct or delete your personal data, object to or restrict how we use it, and ask for a copy in a portable format. To do any of this, email giulia@decision-entertainment.com. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Accounting connections
When we connect the portal to our accounting software, we only access Decision's own company account and use the data to keep deals, invoices and payouts in step.
Social media statistics
To help our agents present talent to brands, the portal shows social media statistics on each talent's profile. They are visible to the talent, the Decision team, and the clients we show that talent to.
- Instagram and YouTube: we look up publicly available figures for the handles on the talent's profile (followers, number of posts, and likes, comments and views on recent posts) using the official Instagram and YouTube APIs. We don't access these accounts.
- TikTok: only if the creator chooses to connect their TikTok account from the portal. With their permission, TikTok shares their open ID, display name, username and profile picture; their bio, profile link and verified status; their follower, following, like and video counts; and their recent public videos with their view, like, comment and share counts. We use this only to show the creator's own statistics to their agents and the brands they are pitched to.
Paid posts: when a post made for a brand deal goes live, we keep its view, like, comment and share counts with that booking and refresh them daily for up to a year, so the brand and our team can see how it performed. The brand can also share a view-only link to these results, for example with colleagues or their agency. For TikTok this uses the creator's connected account; for Instagram and YouTube, public figures. Our team may also add figures the creator shares from their own insights.
We never post, edit or share content on anyone's account. TikTok sign-in details are stored encrypted and used only to refresh these statistics, once a day or when an agent asks.
How long we keep it: statistics and recent videos are refreshed daily and replaced as they change; we keep a daily follower count for up to two years to show growth. When a talent leaves the roster we stop refreshing their statistics.
Disconnecting and deleting: a creator can disconnect TikTok at any time from Settings, Connected accounts in the portal, or from TikTok's own settings. Disconnecting in the portal immediately removes our access and deletes their TikTok sign-in details, statistics, videos and the TikTok figures kept with their bookings from the portal. To have Instagram or YouTube statistics removed, or any other data deleted, email giulia@decision-entertainment.com.
